With a unique, tailor-made high end travel program.

The BMW Group Belgium intended to reward their best selling concession holders with a 8 day high-end travel program. An incentive travel program for 78 guests had to be developed, combining group activities with a maximum of personal independence and flexibility for each participant.

After detailed feasibility studies an 8 day self-driving program has been designed by our company, combining a 4 day exciting but safe nature adventure, most luxurious to lodge-style accomodations and an outstanding, exclusive food & beverage program.

The routing was rounded up by 5 days in one of the most exclusive beach resorts at one of the beautiful pacific beaches of northern Costa Rica

78 participants forming 2 groups

Each group consisted of 11/ 12 teams with a maximum of 4 team members, exploring the country in 23 Toyota RAV4 rental cars.

The vehicles were available throughout the program for optional, self-organized excursions of the teams during the beach stay, covered by a full coverage insurance.

After spending a first night in San José, the route led our guests along the Pacific Coast, first heading South to the Carara Reserve and Manuel Antonio National Park, then North to Guanacaste and the Nicoya Peninsula, to the beautiful beach of Conchal. Their journey included visits of national parks and reserves as well as a thrilling adventure on hanging bridges through the rainforest and several delightful tropical to elegant dinner parties during the stay at the beach resort.

Due to the fact that the Belgium nation is divided into a french and a flemish (dutch) speaking part, all print materialsand information had to be prepared and provided in both languages.

• 2 multi-lingual local coordinators and 6 bi-lingual naturalist guides attended the group throughout the event.
• To provide maximum flexibility and security to the travelers, all luggage has been marked beforehand by our staff and was transported safely and separately by two trucks from hotel to hotel distributing it to the rooms to be found there upon arrival by our guests.
• Coordinators and guides were briefed several times before the group arrived, each staff member had been equipped with a “Guide Manual” containing all important information and lists, especially developed for the event.
• Two additional minivans escorted the route, transporting our staff and providing assistance to the participants if needed.

Each participant received a Welcome Package which consisted of:

• Small Backpack
• Name badges
• Information Folder with map, general information about the country, postcards, currency “cheat sheet” and a program overview as well as a little typical present.

The welcome packages were delivered to the hotel rooms by our staff prior to arrival of the group.
